Privacy Policy
Effective date: October 14, 2026
Flozit LLC ("Flozit," "we," "us") provides a managed service that helps real estate agents follow up with their existing leads. An AI assistant emails leads the agent selects, from the agent's own Gmail account, and hands interested leads back to the agent. This policy explains what information we handle, how we use it, and the choices available to you.
This policy covers two groups of people:
- Agents: real estate professionals who sign up for Flozit and connect their accounts.
- Leads: people an agent has chosen to contact through Flozit.
1. Information we collect
From agents:
- Account details you give us, such as your name, email, phone number, pronouns, brokerage, business mailing address and time zone.
- Access to your Google account (Gmail), granted by you through Google's sign-in screen. See section 3.
- Access to your Follow Up Boss account, granted by you.
- Settings you choose, such as which leads Flozit may contact, and a record of your agreement to human review (section 3).
About leads, from the agent's Follow Up Boss account and Gmail:
- Contact details, such as name and email address.
- Information in the agent's Follow Up Boss record, such as the area, timing or type of home the lead asked about, their stage, tags and assigned agent, and whether the agent has recently called or texted them.
- Emails exchanged between the lead and the AI assistant, emails the lead sends to the agent, and the agent's emails to the lead.
2. How we use information
We use information only to provide the Flozit service, including to:
- Write and send emails to leads the agent selected, from the agent's Gmail account.
- Detect replies from leads, and respond or hand the lead back to the agent.
- Avoid emailing a lead the agent is already in contact with.
- Stop contacting anyone who asks us to stop.
- Update the agent's Follow Up Boss account with notes, tags and tasks about Flozit's conversations.
- Add one Flozit Support contact to the agent's Follow Up Boss account, with our contact details and setup steps. The agent can delete it at any time.
- Alert the agent and Flozit support about replies and problems that need a person.
- Look into complaints and legal claims about those emails.
- Keep the service secure and working correctly.
We do not sell personal information, and we do not use it for advertising.
3. Google user data
Flozit requests permission to send email from the agent's Gmail account and to read and label email. We use this access only to:
- Send the emails the agent has authorized, and apply Flozit's labels to them.
- Check new incoming mail to find messages from leads Flozit is working with. To do this, our system looks at who each new message is from; it reads the content only of messages from those leads.
- Read the email threads Flozit started, including replies in them from the agent or anyone else, and emails the lead sends to the agent.
- Read the agent's sent emails to a lead Flozit is working with, so we do not email a lead the agent is already talking to. We keep only a record that the email exists, not its content.
- If our system was interrupted while sending, check who the agent's recent sent emails were addressed to, and compare any sent to that lead with the email we meant to send. We keep only the result, not their content.
We do not read the content of other email in the agent's account, and we do not store it.
The use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.
We do not use Google user data to develop, improve or train general AI or machine learning models, and we do not transfer it to others except as needed to provide the service (see section 4), for security, or as required by law. If Flozit is ever sold or merged, we will ask for the agent's explicit consent before their Google user data moves to the new owner.
Human review: Flozit staff may read emails between Flozit and the agent's leads to check quality and to fix problems, and may approve, edit or reject a message before it is sent. Most messages are sent without a person reading them first. We do this only with the agent's agreement, and our review tools keep a record each time a message is viewed, approved, edited or rejected. If a lead's message suggests a threat or a risk of self-harm, we send it to Flozit support right away so a person sees it.
4. Service providers
We use a small number of service providers to run Flozit:
- Anthropic, which provides the AI model that writes and reviews messages. Anthropic processes this data under its commercial terms, which do not permit it to train its models on our data.
- Supabase, which hosts our database.
- Railway, which hosts our application.
- Google Workspace, which hosts Flozit's own email.
- Google (Gmail) and Follow Up Boss, which the agent connects.
These providers may process information only to provide their services to us.
5. How long we keep information
- We keep short snippets of emails, and summaries used in handoff notes and alerts, for up to 90 days after Flozit finishes or stops working with that lead, and never longer than one year.
- We keep the full text of an email only until it has been sent or discarded. A few things are kept longer: an email whose sending was interrupted, until we confirm whether it went out; emails prepared in a test run and not sent, for up to 7 days; and alerts, handoff briefs and other records that quote a lead, for up to 90 days after Flozit finishes or stops working with that lead.
- After that we keep only the results for that lead, such as whether they replied, were handed to the agent or asked to stop, with no message text, for as long as the agent uses Flozit.
- We keep the technical records needed to prevent duplicate or unwanted emails (such as message identifiers and whether a lead asked to stop) for as long as the agent uses Flozit.
- Emails we send to the agent and to Flozit support, such as alerts and handoff briefs, can include parts of a lead's messages. The agent's copies stay in the agent's inbox. Flozit's copies are deleted within about 4 months.
- When an agent's account ends, we disconnect their Gmail and Follow Up Boss access and delete their lead data within 30 days. We keep basic account details, such as the agent's name, business contact details and brokerage, for our business records, and delete them if the agent asks, except records the law requires us to keep. We also keep the record of what the agent agreed to at signup, and when.
- When an agent's account ends, or a lead's data is deleted, we keep a minimal, scrambled record of email addresses that asked not to be contacted, or may have, so they are never contacted again through Flozit on that agent's behalf.
- We keep daily totals, such as how many emails were sent and how many leads replied. They contain no names, email addresses, phone numbers or message text. When your account data is deleted, we delete the link between you and these totals, and any totals that came from Follow Up Boss, so the totals that remain are anonymous.
6. Security
We encrypt account access tokens before storing them, limit who can access our systems, and use secure connections. No system is perfectly secure, but we work to protect your information.
7. Your choices
Leads:
- You can stop Flozit's emails at any time by replying and asking to stop. We will stop contacting you.
- To ask what information Flozit holds about you, or to have it deleted, email support@flozit.com. We delete what Flozit holds and keep only a scrambled record so you are not contacted again. Alerts that mention you are deleted on their normal schedule, within about 4 months. The agent's own records, such as their Follow Up Boss account, are managed by the agent.
Agents:
- You can ask us to pause Flozit, or use the switch on your account page, disconnect Gmail or Follow Up Boss, or cancel at any time. See our help page: flozit.com/your-data
- You can revoke Flozit's Google access at any time at https://myaccount.google.com/permissions
8. Children
Flozit is not directed to anyone under 18, and we do not knowingly collect information from children.
9. Changes
If we change this policy, we will update the effective date above, and we will notify agents of material changes by email.
